Instructors - Course Reserve Policies
What is ERes?
ERes (E-rez) stands for "Electronic Reserves", where faculty may:
- Fax readings directly to your ERes course with DocuFax
- Link websites or online journal entries to your ERes course
- Transfer files from your office computer to your ERes course
- Archive individual readings or whole courses for future use
- Post announcements to your students
- Link ERes to your own course website
- Index complete books and videos that are available for students to check out at the Library's Open Reserves area.
if an electronic version of a reading can’t be found, the library can scan it for you! Take a look at an example ERes course (Use ‘required’ for the student password).

Managing Courses
If you use ERes, we kindly request instructors to maintain your courses from semester to semester.
Requesting Book Chapters and Journal Articles
Photocopies no longer required!
Instructors using E-Reserves no longer need to provide photocopies for scanning! Just submit your request using our online form, and library staff will acquire and scan articles and book chapters free of charge. You'll receive a link to the corresponding PDF file within three to five business days! Our online request form can be found at:
Request to have chapters and articles scanned through the NEW form at: http://azilliad.library.arizona.edu/illiad/logon.html
All readings that are assigned to multiple students should be requested by instructors, not by each individual student. The instructor can then post the file directly to their course web page on ERes.
Readings that are not owned by the library may still be submitted through the online form, but the request could be delayed up to 5 days while we are attempting to obtain this material from another library. Please consider using DocuFax if you already have the reading in your possession.
An unlimited number of journal or newspaper articles may be added to your course webpage. Only 10% of the total number of pages of a book, however, or one complete chapter, may be added to your course webpage. This is regardless of the book's print status.
Online access to readings must also be restricted to currently enrolled students. ERes course listings are password restricted to prevent open access to readings. A significantly different course password is required at the beginning of each semester to guarantee that access is limited to currently enrolled students.

Questions? Please EMAIL US or call (520) 621-2348.
Requesting Audio Selections
All audio selections must be accessible as streaming sound within the ERes database to comply with copyright restrictions. A commercial CD may be submitted for processing. A personally created CD with MP3 files may also be provided. Detailed instructions for naming each file will be needed. Please EMAIL US or call (520) 621-2348 to have your audio selections processed.
Requesting Videos
NEW: Online Streaming Video FAQ
All videos are now streamed for online access. The Library will also purchase a video that we do not currently own. Physical videos will only be booked for an instructor to pick up IF the classroom is not technically capable of showing streaming video. Personal videos will not generaly be accepted. Please review our Online Streaming Video FAQ for details.
Requesting Complete Books
Instructors can place bound materials owned by the library or personally-owned on reserve with a limited loan period in order to enable more students to use them.
Please use the Request Course Reserves Form to submit requests.
Please Note: A student password will be required for all material placed on reserve by an instructor. The student password will be only be required to view a list of the material on reserve, not to check-out a reserve item. Please EMAIL US or call (520) 621-2348 for more information.
To avoid delays please observe the following guidelines:
Please Note: Lists are processed on a first-come, first-served basis.
- Fill out the Request Course Reserves Form
- Library-owned books: Provide the complete call number, yearn published, author, and title. This information is available through the Library’s online catalog. If the Library does not own a book, please include the ISBN number. Books that we do not have may take as long as eight weeks to arrive; books that are not in print may not be available. Books that are currently checked out may not be immediately available as they will need to be recalled from the current user.
- Personal Items: Instructor-owned books may be brought in and placed on reserve. Please provide the author and title on the Request Course Reserves Form; we will assign call numbers and attach labels as necessary.
- Loan periods: Please select the desired loan period for each corresponding item on the Request Course Reserves Form Form.
Please Note:
- If an item is needed for more than one class, it will be automatically placed on 2-hour reserve.
- We are able to change your requested loan period once. Please contact us to make a change.
- Physical items are generally processed within 48 hours.
- Library-owned items will be returned to the general collection within one month after the new semester begins.
Archived courses
All ERes courses are archived at the end of their respective semester. Archived courses are not viewable by students using the course password, but are still accessible by the instructors using their instructor username and password.
Courses will generally remain in the system for two years, after which they will be deleted. Instructors will receive advance notice before any courses or files are deleted from the ERes database.
All courses are purposely archived at the end of each semester due to copyright restrictions. The archived course can be re-used for future semesters as long as the course password is changed. This ensures that access is restricted to currently enrolled students.
- Courses last used BEFORE Summer 2004: No longer available.
- Courses last used between Fall 2004-Fall 2006: Faculty can now un-archive and update these courses for a new semester. Complete instructions are available at:
